Trust for London: Guidance on Monitoring and Evaluation


We recognise that small groups have limited capacity to undertake in-depth monitoring and evaluation. However, we are keen to encourage you to recognise the value of undertaking such work for your own learning and development as well as for the benefit of funders and others doing similar work.

To encourage you to reflect on your work and to assess the difference the work we have funded has made to your beneficiaries, we require you to write a final evaluation report. This needs to be submitted at the end of your grant. Please note that further funding will be dependent on this report being submitted.

You will also need to send us a copy of your annual accounts and an annual report, if you produce one. If your grant is for more than a year, please make sure you send us your most recent accounts each year.

A. Final Evaluation Report

Please submit a report answering the questions listed below. It is useful to look at these questions at the start of your grant so that you know what information you need to collect.

1. Background Information

•Name of person completing the report
•Position in the organisation
•How much funding were you awarded?
• What was the funding for?

2. Describe the work you have undertaken with our funding?

3. Who and how many have benefited? (Provide monitoring data if you have this)

4. What difference has the grant made and how do you know? (Provide us with as much evidence as possible)

5. What were your most significant achievements?

6. Did any problems occur during the lifetime of the grant? If 'yes', how did you try and resolve them?

7. What lessons have you learned from the work?

8. Have there been any organisational issues, which have affected the work? (e.g. staffing, premises etc)

9. Will the work continue beyond the life of our grant? If so, please tell us in what way and what funding you have or need to secure.

10. Apart from providing you with further funding, is there any other way in which we could have supported you?

Please use these questions as headings when completing your final evaluation report. In addition, feel free to give us any other information that you consider is relevant and of interest. There is no set rule as to how long the report should be, but normally we would expect between two to four A4 pages.

We really want to know how our funding is used, so please do take some time in looking at and answering the questions listed above.

We also welcome any comments (positive or negative) you want to make on any aspect of your involvement with the Trust during the life of your grant, including this reporting framework.

What we will do with this information

All your reports will be read and summarised for our Trustees. This will help to increase our knowledge of the issues you are addressing and to reflect on our own funding priorities.

B. Second Visits

During the period of your grant, you may be visited by one of our members of staff. The purpose of this second visit would be to discuss the issues arising from your work and your progress. We will contact you to arrange this, if you are selected for a second visit.

C. Additional Support

If you require any additional support to monitor and evaluate your work, please contact us to discuss this further.
